TeamUp Terms of Use

These Terms of Use ("Terms") are a legal agreement between you and AI 4 Work Ltd ("Company," "we," or "us"). By accessing or using Teamup ("Service"), you agree to be bound by these Terms.

If you use the Service on behalf of an organisation, you represent that you are authorised to bind that organisation to these Terms.

1. ELIGIBILITY

You must be at least 18 years old (or the age of legal majority in your jurisdiction) and legally capable of entering into this agreement. You may not use the Service if prohibited by applicable law.

2. THE SERVICE

Teamup is a workspace application providing productivity, collaboration, and related features, including AI-assisted functionality. We may update, change, suspend, or discontinue any part of the Service at any time without prior notice.

3. BETA NOTICE

The Service, or certain features, may be offered in beta or pre-release form. Beta features may be incomplete, unstable, or contain errors, and may be modified, suspended, or discontinued at any time without notice. Beta features are provided "as is" with no warranty or service level commitment. Do not rely on beta features for critical or time-sensitive purposes.

4. YOUR ACCOUNT

You are responsible for keeping your account credentials secure and for all activity under your account. You must notify us immediately at tandem@ai4work.net if you suspect unauthorised access or credential compromise. We may suspend or restrict access to your account if we reasonably believe there is a security risk, breach, or misuse.

5. YOUR LICENCE

Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, non-sublicensable, revocable right to access and use the Service for personal or internal business purposes. No ownership right is transferred to you.

6. ACCEPTABLE USE

You may not use the Service to:

  • violate any applicable law, regulation, or third-party right;
  • infringe intellectual property, privacy, or other rights;
  • upload unlawful, harmful, offensive, or deceptive content;
  • transmit malware or harmful code;
  • interfere with or disrupt the Service or related infrastructure;
  • attempt unauthorised access to accounts, systems, or data;
  • reverse engineer, decompile, or create derivative works, except where prohibited by law;
  • scrape, extract, or harvest data by automated means, except as expressly permitted;
  • build or support a competing product or service;
  • resell, sublicense, or commercially exploit the Service without authorisation;
  • impersonate another person or misrepresent your affiliation; or
  • use the Service in a manner that burdens the platform or harms other users' experience.

We may investigate alleged violations and suspend or terminate access if we reasonably believe a violation has occurred.

7. YOUR CONTENT

You retain ownership of all content you submit through the Service ("User Content"). You grant us a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, process, transmit, format, modify, and otherwise use your User Content solely to operate and improve the Service as described in our Privacy Notice.

You represent that you have all rights necessary to submit your User Content and that it does not violate these Terms or any applicable law.

8. AI FEATURES

The Service may include AI-assisted features that generate, recommend, summarise, or transform content ("AI Features").

AI Feature outputs may be inaccurate, incomplete, or unsuitable. You are solely responsible for reviewing and validating all outputs before relying on them. AI Features are not a substitute for professional or expert judgment. We do not guarantee the accuracy, reliability, or fitness of any AI-generated output.

9. WEB SOURCE ATTACHMENTS

TeamUp may allow users to attach web pages or web-based sources to chats, AI Assistants, research workflows, or other AI features. These sources may be used to provide web-grounded answers, citations, summaries, retrieval, and related AI functionality.

Permitted web sources

Users may only attach web sources where they have the right, permission, or lawful authority to use the content with TeamUp.

Users must not attach:

  • private pages they are not authorised to use
  • pages containing personal data they are not authorised to process
  • signed, tokenised, or temporary URLs
  • credential-bearing links
  • private file links
  • restricted-access pages
  • pages that bypass paywalls or access controls
  • pages that infringe third-party rights
  • pages containing unlawful, harmful, or prohibited content

Unless TeamUp expressly supports another format, web source attachments should be publicly accessible HTTPS URLs.

User authority and responsibility

By attaching a web source, the user confirms that they have the necessary rights or authority to use that source with TeamUp and to allow TeamUp to process it for the requested feature.

The user remains responsible for the URLs and content they attach, including ensuring that the use of that content does not violate any law, agreement, policy, confidentiality duty, intellectual property right, privacy right, or third-party restriction.

Processing of attached web sources

When a user attaches a web source, TeamUp may process that source to provide the requested feature. This may include:

  • fetching the page
  • reading and extracting page text
  • storing the source URL and related metadata
  • indexing or embedding the extracted content
  • retrieving relevant passages
  • using retrieved content to ground AI answers
  • generating summaries, answers, citations, or related outputs

TeamUp may use its own infrastructure, Google Cloud services, retrieval systems, AI model providers, and other service providers to operate these features, subject to our Privacy Policy.

Citations and attribution

Where an AI response is materially grounded in an attached web source, TeamUp may display citation information such as the source title, source URL, and relevant citation metadata.

TeamUp may remove tracking parameters or unnecessary query strings from displayed URLs where appropriate, while still showing enough source information for users to understand where the content came from.

Shared Assistants and team visibility

If a user attaches a web source to an AI Assistant, team chat, shared project, or other shared workspace feature, the source and outputs grounded in that source may become visible to other users who have access to that shared feature.

If an Assistant is shared with teammates, those teammates may receive answers grounded in the Assistant’s attached web sources, subject to the Assistant’s sharing settings and workspace access controls.

Removal, complaints, and takedown requests

Users may remove or detach web sources they have attached where the product interface allows it.

Rights holders, website owners, or affected parties may contact TeamUp at support@ai4work.net to request review or removal of a web source. A request should include:

  • the source URL
  • the reason for the request
  • evidence of ownership, authority, or affected rights where relevant
  • contact details for follow-up

TeamUp may remove, detach, disable, or restrict access to a web source or related indexed content at any time if we believe it may violate these Terms, our policies, third-party rights, legal requirements, platform requirements, or user safety expectations.

TeamUp may temporarily disable access to a web source while a complaint, security concern, or compliance issue is being reviewed. TeamUp may take this action without waiting for the attaching user to remove the source.

Emergency disablement

TeamUp may immediately disable or remove a web source, citation, Assistant knowledge item, index entry, or related AI workflow if we believe it creates legal, privacy, security, safety, or rights-related risk.

Web Source Compliance, Takedown, and URL Safety Controls

Web-source complaints and takedown operations
If you believe a web source attached in TeamUp infringes rights, exposes private/sensitive information, or creates security/legal risk, contact:
- `support@ai4work.net` and include: source URL, reason, supporting evidence, and affected workspace/project/assistant.

Operational ownership
- Intake owner: Platform Operators

Required evidence retention
TeamUp records each complaint and review action (including complaint payload, internal review notes, timestamps, and operational actions such as detach/delete/disable) for **365 days** or the applicable legal retention period, whichever is longer.

Response targets
- Urgent rights/privacy/safety/security complaints: acknowledge within **1 business hour**, triage decision within **2 business hours**.
- Non-urgent complaints: acknowledge within **1 business day**, target resolution within **5 business days**.
- TeamUp may temporarily detach or disable a source immediately while a credible urgent complaint is reviewed.

Disabling/ removal authority
TeamUp can detach or block a disputed web source without waiting for the attaching user when:
- there is credible rights-holder or privacy risk,
- there is suspected abuse or security concern,
- legal or platform safety review requires immediate isolation.

Removal actions may include
- detaching the source,
- disabling related citations/source access,
- purging source index entries, retrieved context, and dependent Assistant knowledge as operationally feasible.

URL safety and privacy-by-default disclosure
TeamUp applies URL redaction by default for displayed source links and metadata in UI, citations, shared assistants, and team spaces.
- TeamUp removes non-essential query details, tracking parameters, and obviously sensitive URL arguments where technically possible.
- TeamUp may retain the full canonical URL internally for security, audit, integrity, and takedown handling.
- URL masking is **enabled by default** and may only be reduced to unmasked view in personal, non-shared contexts by a one-time workspace admin choice.
- Do not attach private, signed, token-bearing, access-controlled, or unauthorised links.
- If an assistant is shared, attached sources (and cleaned citation links) may be surfaced to all users of that shared assistant.

10. PRIVACY

We collect and use personal data as described in our Privacy Notice. By using the Service, you consent to that collection and use.

11. FEES AND PAYMENT

If you purchase paid features or a subscription, applicable pricing and billing terms will be displayed at the time of purchase. Fees are non-refundable except as required by law. We may change future pricing with reasonable prior notice. Failure to pay when due may result in suspension of paid features.

12. INTELLECTUAL PROPERTY

The Service and all related software, design, content, branding, and intellectual property are owned by or licensed to us and are protected by applicable law. No rights are transferred to you except the limited licence in Section 5. All other rights are reserved.

13. FEEDBACK

If you submit ideas, suggestions, or feedback about the Service, you grant us a perpetual, worldwide, royalty-free right to use it without restriction or compensation.

14. THIRD-PARTY SERVICES

The Service may integrate with or link to third-party services. We are not responsible for third-party services or any loss arising from their use. Third-party services are governed by their own terms.

15. TERMINATION

You may stop using the Service at any time. We may suspend or terminate your access immediately and without notice if you breach these Terms, create a security risk, or if we are required to do so by law.

On termination, your right to access the Service ends. Sections that by their nature should survive will survive, including intellectual property, disclaimers, limitations of liability, indemnity, and general provisions.

16. DISCLAIMER

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND. WE DISCLAIM ALL IMPLIED WARRANTIES, INCLUDING OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, SECURE, OR ERROR-FREE, OR THAT OUTPUTS WILL BE ACCURATE OR RELIABLE.

17. LIMITATION OF LIABILITY

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE ARE NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR LOSS OF PROFITS, DATA, OR USE, ARISING OUT OF OR RELATING TO THE SERVICE OR THESE TERMS.

OUR TOTAL AGGREGATE LIABILITY IS LIMITED TO THE GREATER OF (A) FEES PAID BY YOU IN THE TWELVE MONTHS PRECEDING THE CLAIM, OR (B) [USD 100 / £100 / €100 — CHOOSE ONE].

THESE LIMITATIONS DO NOT APPLY WHERE PROHIBITED BY LAW.

18. INDEMNITY

You agree to defend and hold harmless the Company, its affiliates, and their personnel from claims arising out of your use of the Service, your User Content, your breach of these Terms, or your violation of applicable law or third-party rights.

19. CHANGES TO THESE TERMS

We may update these Terms at any time. We will notify you of material changes by posting the updated Terms or through the Service. Your continued use after the effective date constitutes acceptance. If you do not agree, stop using the Service.

20. GOVERNING LAW

These Terms are governed by the laws of England and Wales, without regard to conflict of law principles. Any dispute will be subject to the exclusive jurisdiction of the courts of the United Kingdom.

21. GENERAL

Entire Agreement. These Terms, together with the Privacy Notice and any incorporated policies, constitute the entire agreement.

Severability. If any provision is unenforceable, the rest remains in full effect.

No Waiver. Failure to enforce a provision is not a waiver of our rights.

Assignment. You may not assign these Terms. We may assign them in connection with a merger, acquisition, or sale of assets.

Force Majeure. We are not liable for delays caused by events beyond our reasonable control.

Electronic Notices. We may send notices to you electronically.

Citation Policy. The following Citation Policy is an integral part of these TeamUp Terms of Use.

This Citation Policy is an integral part of TeamUp's Terms of Use.

Source citations for web-grounded answers

Where TeamUp generates an AI answer that is materially grounded in an attached web source, TeamUp will display source citation information wherever technically available.

Citation information may include:

  • source title
  • source URL
  • retrieved passage reference
  • citation metadata
  • date or time of retrieval where available

TeamUp may remove unnecessary tracking parameters from displayed URLs while preserving the main source location.

If TeamUp cannot provide a citation for a web-grounded response due to a technical issue, missing metadata, provider limitation, or retrieval failure, TeamUp may label the response as uncited, partially cited, or limited. Users should review cited sources before relying on an answer.

Citations are provided for transparency and verification. They do not guarantee that an AI answer is complete, error-free, legally verified, or suitable for every use case.

Complaints and takedown process

If you believe a web source attached to TeamUp infringes your rights, exposes private information, or should not be processed by TeamUp, please contact us at support@ai4work.net.

Please include the relevant URL, the reason for your request, and any evidence supporting your claim.

TeamUp aims to review credible complaints promptly. For urgent privacy, safety, security, or rights-related issues, TeamUp may temporarily disable or remove the source while reviewing the request.

TeamUp may remove, detach, restrict, or delete source content, citations, Assistant knowledge entries, indexes, or related outputs where appropriate.

Sensitive URLs and access-controlled links

Users must not attach URLs that contain private access tokens, signed download links, authentication credentials, session identifiers, API keys, private file links, or other sensitive access information.

TeamUp is designed to reduce unnecessary URL exposure by default. Where technically possible, TeamUp will normalise displayed source URLs and remove unnecessary tracking parameters, query strings, and non-essential URL details before showing them in citations, shared Assistants, team chats, or other shared workspace areas.

TeamUp preserves enough source information to identify the original web source while reducing the risk of exposing sensitive or unnecessary URL data.

Users remain responsible for checking that any web source they attach is safe, authorised, and appropriate for the intended audience. Users must not attach private, confidential, tokenised, signed, access-controlled, or unauthorised links.

If TeamUp detects a URL that appears to contain sensitive access information, TeamUp may reject, mask, detach, disable, or remove the source.

For shared Assistants and shared workspace features, users should only attach web sources that are suitable for teammates or other authorised workspace users who may access the Assistant, chat, or shared item.

Attach web sources for grounded answers

Add public web pages as sources so TeamUp can use them for grounded AI answers, research, and Assistant knowledge. TeamUp can retrieve relevant source context and show citations, helping users check where an answer came from.

Only attach web pages you are allowed to use. Do not attach private, signed, tokenised, confidential, or unauthorised links.

Only attach public web pages you are allowed to use.

Do not attach private, signed, tokenised, confidential, or access-controlled links. TeamUp may show source titles and URLs in citations, including to teammates if the source is used in a shared Assistant or team workspace.

TeamUp removes unnecessary URL tracking details where possible, but you are responsible for checking that the source is safe to attach.
